Every Wedding Sign You Actually Need (And a Few You Didn't Know About)
By Paper & Ink Studio
Wedding signage is one of those things that almost every couple leaves until the very last minute. You're deep in venue decisions, florists, catering tastings, seating charts… and somewhere along the way, the signs get bumped to the bottom of the list.
And then, about three weeks out, you suddenly realise you haven't sorted any of it.
It happens constantly. So let's get ahead of it now, properly, so you're not scrambling later.
Why Signage Is Worth Thinking About Early
Signage isn't just practical. It's part of your wedding atmosphere, and most couples underestimate just how much it contributes to the overall feel of the day.
It's the welcome sign that greets your guests before they've even had a drink. It's the little bar menu that makes them smile when they spot the signature cocktail named after your dog. It's the In Loving Memory sign that quietly honours someone who couldn't be there.
Done well, your signage tells your story. It guides your guests, keeps the day running smoothly, and looks beautiful in your photos too.
So it deserves a proper plan. Here's yours.
Your Complete Wedding Signage Checklist
Work your way through this list. Not every sign will suit every wedding, but most couples find they need more than they expected.
1. Welcome Sign
This is your first impression. Your guests see it before anything else, before the florals, before the reception, before the champers. It sets the tone for the whole day.
Whether yours says something formal, romantic, funny, or simply your names and the date, make it count.
2. Unplugged Ceremony Sign
A truly wonderful thing has happened in the world of weddings: couples have started putting their phones down.
An unplugged ceremony sign kindly asks guests to be fully present during your vows. No phones in the aisle. No iPad screens blocking the view. Just people actually watching you get married.
Your photographer will adore you for it, and so will you when you look back at your photos.
3. Reserved Seating Signs
These go on ceremony chairs for parents, grandparents, and anyone else who deserves a front-row seat. It removes all the awkwardness of someone unknowingly sitting in the wrong spot, and it's a lovely little keepsake for the people who matter most.
4. Directional Signs
If your venue has multiple spaces, or if guests are travelling from a ceremony location to a separate reception, directional signs are non-negotiable.
Nobody wants to spend ten minutes wandering around trying to find the cocktail hour. A well-placed arrow goes a long way.
5. Seating Chart
The seating chart is one of the most functional signs of the day. It tells your guests where to go, prevents the awkward hovering near tables, and keeps things moving at the start of the reception.
Design-wise, it's also one of the most visible signs in your reception space, so it's worth doing it well.
6. Table Numbers (or Table Names)
Practical? Absolutely. But table numbers are also a chance to carry your design throughout the reception. Match the fonts and colours to the rest of your stationery suite for a cohesive, polished look.
Some couples go with numbers, others use names: places you've travelled, songs that mean something, wine varieties, anything that feels like you.
7. Bar Menu or Bar Sign
Let your guests know what's on offer. Cocktails, wines, beers, non-alcoholic options, a well-designed bar menu adds a touch of style to the drinks station and answers the question before anyone has to ask it.
And if you're having a signature cocktail? This is the place to introduce it properly.
8. Food Station or Buffet Labels
If you're having a buffet, grazing table, or multiple food stations, clear labelling makes everyone's life easier. It helps guests with dietary requirements, reduces the constant questions to your wait staff, and just makes the whole thing feel considered and organised.
9. Favour Sign
A small sign near your favour table invites guests to take one home. A little "With love, take a treat" goes further than you'd think. It's warm, it's personal, and it makes sure your thoughtful favour doesn't get left behind.
10. Guestbook Sign
Whether you have a traditional guestbook, a photo booth alternative, or something more creative, a sign lets guests know what it's there for and encourages them to actually use it.
Include a little prompt if you like. "Leave us your best piece of advice" or "Tell us something that made you smile today" gives people something fun to write.
11. Wishing Well or Gift Table Sign
This prevents an awful lot of awkwardness. When guests arrive with a card or gift, they need to know exactly where to put it. A clear, well-placed sign does that job beautifully and stops people carrying things around all day wondering where to leave them.
12. Restroom Signs
Functional? Yes. Boring? Only if you let them be. A restroom sign with a touch of personality, or one that simply matches your overall aesthetic, is a small detail that guests notice more than you'd expect.
13. Social Media Hashtag Sign
If you'd love your guests to share their photos, give them the tools to do it. A hashtag sign in a prominent spot (near the bar or the dance floor works well) means you'll be able to find all those candid, joy-filled moments long after the day is done.
14. Quote or Story Sign
This one's optional, but it's a lovely personal touch. A favourite quote, a line from your vows, or something that captures who you are as a couple. A simple story sign adds personality to your space without needing to say very much at all.
15. In Loving Memory Sign
For many couples, this is the most meaningful sign of the day. A quiet, thoughtful way to honour the people who couldn't be there, displayed somewhere visible, without drawing too much attention, but there for the people who need it.
16. Dance Floor Sign
Set the tone for the evening. Whether you go with something playful ("Shoes Optional"), something cheeky ("No Requests After 10pm"), or something sweet ("Dance Like Nobody's Watching"), a dance floor sign signals that the party is officially on.
When Should You Order Your Signs?
Signage takes time, and this is the part most couples don't realise until it's too late.
If you're ordering custom-designed signs, aim for at least four to six weeks before your wedding date. That allows time for:
- Design and any approval process
- Printing and finishing
- Delivery, with a buffer for anything unexpected
The week before your wedding should be for getting excited, not chasing deliveries. Order early and give yourself the breathing room.
One Thing That Makes a Huge Difference
When your signage all works together, same fonts, colours, paper style and finishing, it creates a calm, cohesive look throughout your whole venue.
It's the kind of thing guests might not be able to put their finger on, but they'll feel it. That sense that everything belongs together. That it was all thought through.
Matching your signs to your invitations and stationery suite is one of the simplest ways to make your wedding feel polished from ceremony to last dance. If you're working with a stationery designer, ask them about signage at the same time. Most offer cohesive packages that bring it all together beautifully.
Not Sure Where to Start?
If you're looking at this list and your head is spinning a little, that's completely normal.
You don't need every single sign on this list. You need the ones that make sense for your venue, your wedding style, and your guests.
Start by thinking about the flow of your day. Where will guests be? Where might they feel confused? Where is there an opportunity to add a personal touch or a moment of warmth?
Answer those questions and your signage list will practically write itself. And if you want to see a beautiful range of cohesive wedding signage designed and printed in Australia, the team at Paper & Ink Studio have been helping couples pull it all together for over 23 years.
